Job Title: Operations Director

Salary Range: Starting at $95k, commensurate with experience
Community Justice Project is a community lawyering nonprofit based in Miami, FL. Made up of lawyers, researchers, and artists, we support grassroots organizing advancing racial justice and human rights across Florida. CJP is seeking an experienced operations professional, ideally with experience working with lawyers or legal organizations, to lead and manage the organization’s operations.
As the Operations Director, you will build and manage systems to support the day-to-day functioning of our growing team. You’ll become the point person for our finance and human resource matters, including managing consultants and contractors, and playing a key role in a dynamic working environment.
The Operations Director position is an important member of a small and effective nonprofit organization. This role leads core operational functions including finance, human resources, administration, compliance, and technology, partnering with the Executive Director and Board Members to ensure organizational excellence and alignment with strategic goals.
This candidate should also be systems-oriented and able to identify gaps and obstacles facing the team, and propose solutions to improve our ability to carry out our mission.
The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The ideal candidate can easily pick up tasks and move them forward with minimal oversight, and must be able to handle a wide variety of activities and confidential matters with discretion.
The ideal candidate brings both strategic vision and hands-on management experience, with a deep commitment to operationalizing equity, transparency, and collaboration across the organization. The Operations Director sits on the organization’s management team and is an integral part of outlining an achievable vision for the organization.
Roles and Responsibilities
Budget and Finance
- Support the development of the annual budgeting process and budget tracking
- Manage budget along with the finance team, reviewing monthly reports
- Assist with bookkeeping and monthly financial reporting in coordination with finance team
- Build and manage systems for monthly timesheet reporting and grant tracking to payroll
- Work closely with finance team to reconcile monthly reports as needed
- Manage annual audit process along with finance and accounting
- Assist with preparation for board of directors’ meetings and board management
- Manage donor platforms and provide support to development consultant
- Track and provide financial information as needed for grant reporting purposes
- Manage employee expenses and reimbursements
Human Resources
- Develop goals and timelines consistent with the organization's budget and deliverables along with management team
- Manage recruitment and hiring processes for new personnel
- Manage employee onboarding and offboarding process
- Lead recruitment efforts, including posting job descriptions and leading screening of candidates
- Plan, lead, develop and implement policies and trainings to support the organization’s mission and staff needs
- Lead annual staff evaluations
- Ensure that Community Justice Project is in compliance with all state and federal laws and requirements regarding human resources
- Serve as point person for staff on HR issues and questions
General Operations, Compliance and Office Management
- Ensure compliance with federal, state, and local nonprofit regulations, including maintaining 501(c)(3) status, annual filings (IRS Form 990), lobbying and political activity tracking and reporting, and charitable solicitation registrations, working with external counsel as necessary
- Manage risk and ensure adherence to all contractual, insurance, and grant reporting requirements
- Support in the workflows related to organizational grantmaking, including managing the workflow and process, ensuring proper file management, and grant making due diligence process, and preparation of agreements
- lead the management of the office space
- lead and develop contracts and manage vendor relationships
- Procure and manage office equipment for staff
- Help to coordinate meetings and travel schedules, assist with calendar management
- Manage general/admin email inbox
- Communicate operational matters to the wider team as relevant
- Ensure that the internal operations of the organization run smoothly and that processes are put in place to deliver performance and achieve goals
- Maintain operating procedures manual
Qualifications
- 5-7 years’ experience as an operations director or relevant role. Preference is for experience with 501(c)(3) organizations and/or in the legal field
- HR experience, including managing employee benefits and payroll
- Excellent organizational and leadership skills
- Strong written and verbal communication and interpersonal skills
- Understanding of financial report and accounting processes
- Attuned to matters of racial justice and equity, ability to work with individuals from diverse backgrounds
- Preference for candidates with design thinking experience
