Rank the Vote is a non-partisan 501c3 organization dedicated to empowering people to build grassroots movements for electoral reform within their communities. With 25+ state partner organizations, we support efforts to use ranked choice voting, proportional representation, open primaries, and fair districts across the country.
We are seeking an organized, detail oriented Executive Assistant to join our team of mission driven electoral reformers. This position will provide support to our remote 7-person national team, primarily working with the Executive Director.
Responsibilities
Administrative Support
- Respond to emails and manage the Executive Director’s calendar.
- Assist in note taking during meetings, summarizing next steps and action items.
- Assist with tracking tasks and deadlines.
- Organize and maintain electronic files.
- Assist with mailing, shipping packages, and maintaining a small amount of inventory.
- Manage travel reservations for team members.
- Prepare and edit correspondence, presentations, reports, and memos.
Fundraising Support
- Coordinate meeting scheduling with potential donors and stakeholders.
- Draft and send tailored outreach emails to prospective donors.
- Assist in tracking fundraising campaigns, monitoring progress, and reporting on outcomes.
- Assist with donor recognition programs.
- Help research potential donors, prepare call time sheets.
- Send donation and grant acknowledgment letters.
- Other duties as assigned by the Executive Director.
Qualifications
Education
- High school diploma, bachelor’s degree preferred.
Experience
- 1-3 years experience in administrative support and/or fundraising, preferably at a nonprofit environment.
Skills
- Detail oriented with a strong ability to prioritize effectively.
- Excellent written and verbal communication skills.
- Excellent organizational skills and commitment to accuracy.
- Proficiency in Google Suite, with the ability to learn new softwares (AirTable, CRM).
- Experience with fundraising initiatives or donor communication is a plus.
- Ability to occasionally lift and carry up to 35 pounds while shipping and managing inventory.
- Drivers license preferred but not required.

Schedule
20 - 30 hours per week, work in the Portland office 1 to 2 days per week. Potential for full time in the future.
Compensation
$25 - $35 per hour depending on experience.
