ABOUT THE ROLE:
NCSL’s Denver-based Children and Families Program is looking for an experienced professional with a successful history of being the administrative hub for a fast-paced, highly interconnected team. This is a critical position at the center of a team of policy professionals working on housing and homelessness, food security, economic mobility, child welfare, early childhood, and child support and family law.

If you are well organized, self-motivated and like to be at the center of the action, this may be the position for you. Candidates should have considerable experience supporting project teams, coordinating travel and events, purchasing and expense tracking, and data entry and retrieval. If you have strong IT/software application skills, even better. The position reports to the director of the Children and Families Program, while also handling assigned functions from other staff.

All positions at NCSL are responsible for contributing to a culture of innovation and excellence and ensuring NCSL’s work is completed in an objective, neutral and nonpartisan manner.

WHAT YOU’LL DO:

  • Perform clerical tasks, including writing, editing and formatting documents and other communications; data entry and retrieval; scheduling and task management.
  • Support meeting planning, including correspondence with members, site planning, travel arrangements, communication with participants, virtual and on-site support, and expense tracking and reporting.
  • Coordinate and/or provide technical support for in-person and online meetings and webinars.
  • Liaise with legislators and legislative staff, vendors, other NCSL programs and external organizations.
  • Provide exemplary member service, including managing inbound and outbound communication with members.
  • Act as a liaison for members, vendors, and internal and external individuals and organizations.
  • Coordinate hiring processes, including scheduling interviews and administering skills assessments.
  • Train and support other staff with organizational processes and computer applications.
  • Coordinate content updates on NCSL.org.
  • Produce internal reports including compiling drafts, generating program or project status reports.
  • May compile budget and expense documents and help prepare grant proposals and reports.
  • Perform other responsibilities as needed.

THE WORK ENVIRONMENT: This full-time position is mostly performed in an office environment, on or off-site, with prolonged periods of sitting at a desk and working on a computer. NCSL provides a unique hybrid remote work policy with the requirement that staff travel on their own fare to the NCSL office once a month for team meetings and professional development. Employees routinely use standard office equipment such as laptops, printers, scanners, copy machines, and smartphones. Occasional travel by airplane, including overnights and weekends, is required. Qualifications

Minimum Qualifications:

  • High school diploma or its equivalent, plus five years of progressively more complex administrative experience.
  • Proficiency in computer-based clerical functions, including a firm command of Microsoft Office and an ability to learn new procedures and applications.
  • Ability to communicate clearly and professionally in writing and orally and discreetly handle sensitive information.
  • Experience working independently and collaboratively as circumstances dictate.
  • Proficiency with simultaneously managing multiple tasks and deadlines.
  • Competency working under deadline pressure and adapting to changes in workload.
  • Superior customer service and organizational skills with strong attention to detail.
  • Creative thinking and problem-solving skills.
  • Ability to travel by air approximately five times per year, generally for one to three nights.
